This functionality is available for Item Bank Managers.
Managing Item Bank Access
The Access tab of the Item Bank management screen allows you to monitor and manage which users have access to the Item Bank content. This screen is your central hub for auditing the access granted via the Three-Part Model (Item Bank, Access Group, and Author user roles).
The primary function of the Access tab is provided through the view selector dropdown, which lets you filter the list of users based on their access pathway.
The 'All' View
The 'All' view is the default, comprehensive list showing every user who has permission to access the Item Bank. This includes users who gain access through two distinct routes:
- Granular Access: Any member of an associated Access Group(s) who possesses the required matching Author CUR(s) or Author system role, as defined in the Item Bank's Properties tab.
- System Access: Anyone who holds the Planner, or Author Extended Access role.
All Planners who are member of the Access Group have access to add the Item Bank content to tests, and manually sharing content with the Planner is no longer required.
Viewing Access Groups Individually
The dropdown menu also allows you to select and view each of the individual Access Groups that are associated with the Item Bank. These views are crucial for managing granular permissions effectively.
Selecting a specific Access Group view will display the following information:
- Full Membership: A list of all users who are members of that specific Access Group.
- Required CURs: An indication of which Author CURs (if any) are required for users in this Access Group to gain access to the Item Bank. This requirement is pulled directly from the relationship you set up in the Properties tab.
- Missing CURs: If Author CUR(s) are required, any Access Group members who are missing one or more of the necessary CURs will be visually highlighted with a warning icon next to their name.
Nested Access Groups
Please note: If Access Groups are nested (featuring a parent and child hierarchy) and the Item Bank is associated with the child Access Group, the members of the parent Access Group do not currently receive access automatically.
Users must be explicitly added to the child group to gain access to the Item Bank.
Simplified Access Management for Managers
For Item Bank Managers who also possess the required administrative roles, the Access Group view provides helpful shortcuts for quickly resolving permission issues:

| Item Bank Manager + Access Group Admin | Open Access Group Management | Allows the manager to open the Access Group Management screen to edit the membership of the group. |
The Simplest Way to Grant Missing User Roles:
If you have Administrator privileges, using the Open User Administration button is the simplest way to grant user roles. After filtering the user list down to only the Access Group members, you can use the 'Assign multiple user roles' functionality (see relevant article on user administration) to apply any missing Author CURs in bulk. This ensures all members of the Access Group are granted the necessary permissions simultaneously, making permission management more efficient.
