Write and send explanation of grades

You can write explanations that are sent to candidates after grading is finalized. 

This article describes how to see if a candidate has requested an explanation, explains how to write and save the explanation, and details who can send the finished explanation.

Has the candidate requested an explanation?

If an explanation has been requested, the request will be visible in the Explanations workspace. In the candidate overview, the Explanation request column shows whether the candidate has requested an explanation or not. You can also view this status in the explanation panel on the right side of the window.

The Explanation request column shows one of three statuses:

  • Not requested: The candidate has not requested an explanation.
  • Requested: The candidate has requested an explanation. The Planner will then start the process, and the Planner may also send explanations on behalf of the Graders.
  • Not set: This means the Planner does not handle explanations for this test. As the Grader, you are fully responsible for both writing and sending the explanation.

Write the explanation

You write the explanation in the explanation panel located on the right. You can always write explanations during the grading process, regardless of whether the candidate has requested one or not.

  1. Candidate identifier: View the candidate identifier.
  2. Rich text: Formatting alternatives for the text.  
  3. Text editor: This is where you write the explanation.
  4. Record: You can record your explanation.
  5. Attach file: Add a file to the explanation. It will be available for the candidate together with the explanation. Any file type can be attached.
  6. Insert private notes: Click this button to add all private notes from all questions to the explanation field.
  7. Save: Save the explanation.

Send the explanation

You can send the explanation when the following requirements are fulfilled:

  1. The candidate have a confirmed final grade.
  2. The Planner has allowed Graders to send explanations.

Send individually 

To send the explanation to the corresponding candidate, click the Send to candidate button located below the text editor. The option is available once the marking is confirmed and the explanation is saved.

Send all explanations

To send all saved explanations to the candidates, click the Send all explanations button at the top of the workspace. This option is available once the marking is confirmed and the explanation is saved.

Explanations administrated by the Planner

When the Planner is administrating explanations, the Planner controls when and how the explanations are sent to the candidate.

As a Grader, you must complete the following workflow:

  1. Write the explanation and save it as a draft.
  2. Click the Mark as ready button when finished. 

The Mark as ready action indicates that the explanation is complete and ready for the Planner to send. The Planner will not be able to send the explanation before the Grader has marked it as ready.

The Planner may decide that you, as a Grader, will not have permission to send explanations. If this is the case, both send buttons will be deactivated. Your sole task then becomes to mark the explanation as ready.
