Monitoring explanation status and progress

After explanations of grades are enabled for a test, their progress is tracked using a specific status system. 

This article explains the various explanation status types, details how explanations progress through the workflow, and clarifies how Planners can monitor the progress of explanations.

Overview of explanation statuses

The status of explanations is made visible in both the Grade and Monitor modules, allowing you to track the workflow across the system. There are two columns that help Planners track the explanations: Explanation status and Explanation request.

In the Grade module's Explanations overview workspace, you can see the explanation status and whether an explanation has been requested.

In the Monitor module you can add the Explanation request and Explanation status columns to the candidate list. These columns give you a quick overview of whether an explanation has been requested and what stage the response is currently in. 

You can add these by clicking the column picker.

The status types for administered explanations are:

  • Not requested: No explanation has been requested on behalf of the candidate.
  • Requested: An explanation has been formally requested.
  • Draft: The explanation has been started by the grader but is not yet finalized.
  • Ready: The explanation is completed and marked as ready for review or sending.
  • Sent: The explanation has been sent to the candidate.
  • Read: The candidate has logged in and seen the explanation.

All changes in status are logged as events and trigger automatic notifications. You can choose to subscribe to notifications by email for such changes. Read more about customizing notification settings here.

Tracking and sending explanations

The explanation status system helps Planners formally track and monitor the progress of explanations for candidates from start to finish. This allows for clear communication and follow-up between Planners and Graders.

The Explanation request column

  • This is the default status. A Planner can still write an explanation for a candidate even if it has not been formally requested.

    To write the explanation go to the Explanation workspace in the Grade module, select the candidate and write an explanation in the right side panel.

  • A Planner can request an explanation in several ways:

    • Under Explanations of Grades in the test settings: Select Request explanations of all grades. When you use this method, you will be prompted to confirm the request.

    • From the candidate list in Monitor: Choose a candidate(s). In the action banner on the bottom of the page click Request explanation. A notification will be sent automatically to the Grader in Inspera Assessment.

    • From the Grade module: Go to the Explanations overview workspace in Marking 2.0. Click the options menu next to the candidate (three dots), select Explanation, and then click Request explanation.

    When a Planner has requested an explanation on behalf of the candidate, the Explanation request column will change to Requested.

The Explanation status column

  • This status indicates that a Grader has started writing the explanation, but it has not yet been finalized.

     As a Planner you cannot send a draft explanation on behalf of a Grader.

    If the Planner has enabled the setting to allow Graders to send explanations directly to candidates, the Grader can click Mark as ready and then proceed to send the explanation to the candidate.

  • When the Grader has finished writin the explanation and clicks Mark as ready, the explanation status changes to Ready

    An explanation that is marked Ready can be sent to the candidate by the Planner through the Grade or Monitor module. 

    Note that the test must be fully graded before any explanations can be sent to the candidates. All Graders and committees must have confirmed final grading.

    In Monitor, you can select multiple candidates with the Ready status and send all their explanations in a single batch action.

  • Once the explanation has been sent, the explanation status will change to Sent.

    The explanation will be available to the candidate in their Archive. The candidate will not be notified by email when an explanation is sent.

  • The status Read means that the candidate has logged in and seen the explanation.
