Item Bank Creation

This is available for Item Bank Managers and Author with Extended Access

Item banks enable institutions to organise and control their test content. In the first release of Item banks, an Item bank is linked to one Org. unit and the content within the Item bank is automatically shared with all Author users who are members of that Org. unit. All Authors who have access to the Item bank will have full access to the content within the bank. In upcoming releases, it will be possible to define the permissions to the content more granularly (learn more here). 

Before you start 

Note: From the 20th May all Planners who are member of the Org. Unit have access to add the Item Bank content to tests, and manually sharing with Planner is no longer required. Until then, question sets to be used in tests must reside in ‘Unbanked Space’.

Are you clear on what level the Item banks should be created (Course, Course Cluster, Subject Area, School, Faculty, other?). Do you have a clear naming convention you will follow? 

Information: There is currently a limitation of 200 Item banks per tenant.

Create a new Item Bank

  1. Go to the Author module
  2. Click +Create new bank, located at the bottom of the list

3. In the Manage Bank Properties tab, fill out:

  • Bank Name - This is what is displayed in the pulldown menu
  • Prefix - This is the name displayed in the main menu
  • Color - This is the Item Bank icon color
  • Organizational Unit - This defines who will have access to the Item Bank. All Authors within the selected Org. unit will get access to all content in the Item bank. Additionally, Planners will get access to preview all the content as they can add it to Tests. 

4. Click Done, and the Item Bank is created!

Viewing, Editing and Deleting an Item Bank

  • (1) Your Item Bank prefix will now be visible in the upper menu. This lets you know which Item bank you are working out of
  • (2) See how many have access to the Item bank directly from the header, or click into it to get an overview of all the users with access to the Item bank content
  • (3) Change the settings of the Item bank. This reopens the Manage bank view:

From here, you can change your original settings such as Bank name, Organizational unit, and prefix. Additionally, the Access tab (1) displays the individuals from your organization unit that have access to the Item Bank content. The Delete bank tab (2) gives you the option to delete the Item Bank. This will delete the bank and its settings. Content will be moved to ‘All content’ trash, but cannot be restored to an item bank. Deleting the bank can not be undone.

Manage members

Item bank access is controlled by Org. unit membership. To give access to someone, they must be added to the linked Org. unit. The Item Bank Manager role does not grant access to this, but if you also have the Org. Unit Admin role you can manage the membership from the Org. unit Management Interface.
