Available configurations for deletion of candidate submissions in Inspera Assessment

Introduction

The standard configuration of Inspera Assessment keeps all work submitted by candidates during the lifetime of your contract with us. We are aware that some customers would like flexibility in deleting submissions, and with this article you will get information about different options available to you when it comes to deletion of submissions.

Please note, by default nothing changes - the configurations below require activation through our Service Desk. If you decide not to activate any of them, you will remain in the position where all submissions are kept for the lifetime of your contract with us. Nor are you able to accidentally activate these settings because they are not available to users, only our Service Desk. 

The configurable options outlined below operate at a tenancy level, affecting one tenant and all submissions in that tenant, e.g. all submissions at customername.inspera.com. To make changes to your tenant's configuration, an authorised service desk user within your organisation must send a service request to our Service Desk.  

Please consider the following when making your choice of configuration:
  1. Any changes will affect existing and new submissions
  2. If a submission is deleted, there is no way for you or Inspera to retrieve it

Please be aware of the following concerning marking data:

  1. All marking data, such as marks, grades, comments and explanations, are deleted in the user interface (UI) when a submission is delete. However, it will still be possible to export this by using Inspera's Open APIs (if activated)
  2. The final result(s) in the Grading protocol will still be available in Inspera Assessment

If you want marking data to be deleted alongside the submission itself, this must be stated clearly in the request to the Service Desk.  Deletion of marking data applies to both marking data and results in the Grading protocol. This is irreversible; There is no way for you or Inspera to retrieve the data if you request this.

 

Available configurations for deletion of candidate submission 

Inspera offers three different options for deletion of candidate submissions in Inspera Assessment: 

  1. Enable Submission Deletion (Allow candidates to delete selected submissions)
  2. Automatic Submission Deletion After Grading
  3. Automatic Submission Deletion After Submission

 

1. Enable Submission Deletion (Allow candidates to delete selected submissions)

This configuration is disabled by default. 

Enable Submission Deletion makes it possible for candidates to delete their own submissions after grading is complete if the test setting "Allow candidates to sign off on own submissions" is enabled by the Planner. A Planner can therefore choose on which test this choice is available to candidates.

Allowing candidates to delete their submission includes both the submission itself and marking for that submission. The submission will be made unavailable to the candidate, to Planners, and to Graders in their respective modules. However, in Monitor a Planner will be able to see if and when a candidate deleted their own submission by means of the column Submission.

2. Automatic Submission Deletion After Grading

This configuration is disabled by default and requires Enable Submission Deletion to be enabled.

Automatic Submission Deletion After Grading determines the lifespan of submissions that have been graded, measured in number of days. Once grading on an assessment is finished and receives the status Graded, each submission will be available for the number of days you have specified before being automatically deleted.

Example: If you want submissions to be automatically deleted 1 year after the grading is completed, then you can choose 365 days as default. 

Be aware that this affects all submissions in a tenancy, not only submissions submitted after enabling this configuration. All current existing submissions with an age older than the number of days specified in the configuration will face prompt deletion. If, for example, you choose 365 days as the lifespan then from the point of activation, all existing submissions graded more than 365 days ago will be deleted on activation. 

Note: Assessments that are Graded can be reopened for marking. Doing so before the lifespan of the submissions expires will reset the clock to 0 days. The clock will resume from 0 once marking is reconfirmed.

 

3. Automatic Submission Deletion After Submission 

This configuration is disabled by default and requires Enable Submission Deletion to be enabled.

When enabling Automatic Submission Deletion After Submission you specify the lifespan of all submissions, measured in number of days, from the time of submissionThis configuration does not take the test status or grading status of the submission into consideration.

Example: If you want submissions to be automatically deleted 1 year after the candidate(s) have submitted, then you can choose 365 days.

Be aware that this affects all submissions in a tenancy, not only submissions submitted after enabling this configuration. All current existing submissions with an age older than the number of days specified in the configuration will face prompt deletion. If, for example, you choose 365 days as the lifespan then from the point of activation, all existing submissions older than 365 days will be deleted on activation.

Note: Opening for resubmission for a candidate will reset the clock back to 0 days for the selected candidate, and will then begin anew when the submission is delivered.
