The purpose of this article is to explain the background of the automatic deletion of graded submissions and which criteria that will trigger the deletion in Inspera.
Why does Inspera offer automatic deletion?
Under the Swedish constitutional principle of public access to official documents, the public and media may request access to documents kept at Swedish universities. A submitted and graded exam is an example of such document. Exceptions to this principle are stated in the Publicity and Confidentiality Act.
The university is required by law to store student submissions for 2 years after the final grade has been set. These submissions must be available upon request and should be deleted after this 2 year period has passed.
How does deletion of submissions work in Inspera?
Deletion of a candidate's submission can be done in one of two ways:
- The candidate signs off her/his own submission i.e. deletes answers, points awarded and feedback
- Automatic deletion is activated and Inspera automatically deletes submissions based on date for grade set
When are submissions deleted?
Unless otherwise specified, graded submissions are deleted two years (730 days) after the date when the grade was set.
If there is an update to a candidate's grade during these two years, another two year retention is initiated.
If a candidate requests a regrading of the exam, the result must be recorded in Inspera for the new date for grade set to be updated.
