What is Grading Workflows?

Grading Workflows is the new end-to-end process of taking a candidate’s submission through various grading stages, calculations, and moderation steps until a final mark or grade is determined.

Rather than building a single rigid workflow, Inspera is providing a customisable engine that allows institutions to build and configure their own multi-phase grading workflows directly in the platform.

The 4 Steps of a Workflow Phase

Each workflow consists of sequential or conditional phases. Within each phase, the logic is configured across 2 to 4 steps:

  1. Allocation: Defines how candidate submissions are distributed (even splits, weighted groups, or random percentage/sample selection), the allocation level (by question or by whole submission), and the number of graders assigned per submission.

  2. Marking* (optional): Controls what graders can see (visibility of previous or current marks and grades) and what actions they can take such as setting marks as per the question setting, or simple approved/not approved checks.

  3. Calculations* (optional): Determines how mark differences between multiple graders are handled at the submission level (e.g., calculating averages with rounding rules, taking highest/lowest marks, or flagging as a conflict if the mark difference exceeds a set threshold).

  4. Rules: Evaluates the submission to determine the next step in the journey: moving the submission to a subsequent phase or concluding the workflow.

Creating Grading Workflows

Planners create workflow templates using a "pre-define as much or as little as you need" principle. Any setting can be skipped at the template level and completed later by the Planner during test scheduling in Deliver.

Modifying Grading Workflows in an active test

Planners can modify parameters before or during active marking. If a rule produces unmanageable outcomes (e.g., a 5-mark difference threshold flagging 75% of submissions for second marking), the planner can adjust the threshold and preview the percentage of affected candidates in real time before confirming the recalculation.

Progress Dashboard & Tracking UI

The Progress Dashboard allows Planners to monitor progress across the entire lifecycle of a test.

Planners can view overall progress, breakdown by phase (e.g., Phase 1 at 100%, Phase 2 at 86%), inspect individual grading pairs/groups, and verify whether graders have formally confirmed their marks.

Data Downloads & Full Data Log

From the Progress Dashboard, Planners can download the phase-by-phase audit trail that captures every mark and decision across the workflow. This contains comprehensive audit points for every submission at each phase:

  • Phase name
  • Candidate ID
  • Group name
  • Grader name
  • Grader username
  • For every question:
    • Question Title
    • Marks awarded by the grader
  • Total Score
  • Resolved Score
  • Provisional Grade
  • Rule Condition Met
  • Next Phase
