How to add Contributors to a test

Contributors are users assigned specific roles in the context of a test. These roles, such as Graders and Invigilators, define their access and responsibilities. Adding a contributor gives them access to the test and allows them to perform tasks related to their role. Users who are not added as contributors will not have access to the test or its candidate list. 

This article explains how to add contributors directly, details how to import contributors using a CSV file, and outlines the roles and implications for different contributor types.

What are Contributors?

Contributors are users assigned specific roles within the context of a test. These roles define their access level and responsibilities. This option is available for Planners, and to a limited extent for Chief Invigilators. You'll find the contributor list at the top right of the test setup page.

Any contributor added to the test will gain read access to the question set used in the test. Authors, however, will get both read and write access to the question set and will be added to the Shared with users list in the question set. Removing an author from the contributor list on the test will not remove their direct access to the question set itself.

How to add users as Contributors

You can add users directly to the contributor list for your test.

Chief invigilator has access to add other chief invigilators, and regular invigilators.

Planner can add all contributor types.

  1. Go to the Deliver module.
  2. Navigate to the test setup page by either choosing an existing test or creating a new test.
  3. In the test settings, find the Contributor dropdown menu at the top right of the page.

  4. Select what kind of contributor you need for your test.
  5. A new window will pop-up, here you can search for the user if they already exist in the system.
    • When you add a user as a contributor, that user must already have the correct role assigned by a user administrator. As a Planner, you'll only be able to add users who already have the correct roles. For example, if you want to add a user as a Grader, and that user does not have the Grader role assigned, they won't show up in the search results.
    • Planners with extended access, who are also User administrators, can search for users even if they do not have the correct roles yet. However, adding a user without the correct role here will not automatically grant them that role; the role must still be added in user administration.
  6. You can choose whether to send an e-mail notification when you add users by toggling the tickbox next to the Add button.

Import contributors from CSV

You can also add contributors to a test by uploading a CSV file. Using this option will assign the role in the CSV to the user if they don't already have it assigned.

The required columns for the CSV file are:

firstName, lastName, username, externalUsername, email, role, candidateFilter*

*CandidateFilter is an optional field for Invigilators and Chief Invigilators, and it can be added in the CSV if you use the functionality to limit invigilators to room.
