Group submission

This is available for Planners.

You can choose the candidate's submission type to Group submission, which allows candidates to submit their submissions as a group. This submission type can be helpful when candidates are in group projects or group tests.

When setting up a test for group submissions you can choose from three types of groups:

  • Automatic: The Planner defines the number of groups and the number of candidates per group. The candidates are randomly assigned to the groups.
  • Manual: The Planner creates a number of empty groups and assigns candidates manually.
  • Free: Candidates create groups and organize them on their own.

The candidate must be a member of a group to be allowed to submit a group assignment. A group must be created in order for the test to be delivered, even if the group consists of only one candidate. The candidate is only a member of a group if they

  • either created a group themselves, and possibly invited others with a pin code,
  • or logged in with a PIN in a group that has already been created,
  • or the planner has added the candidate to a group.

One of the group members submits on behalf of the group. All group members have access to the test and can change the submission.

Note: The test can only be opened by one group member at a time.

 

How to enable Group submission

  1. Assign candidates to the test, either manually, via API, or integration with external systems.
  2. Within the candidates setup, click Manage.
  3. Select the Choose submission type dropdown, choose Group submission.
Information: Tests connected to FS, Ladok, or another external system, have to be disconnected from the external system for the group test option to be available.

Group types

When Group submission is activated, you are presented with five different ways of managing groups:

Create groups and add candidates randomly

This option lets you specify the number of groups and candidates per group. Candidates will be randomized into groups and distributed evenly.

  1. Click Create groups and add candidates randomly.
  2. Assign a Number of groups and Candidates per group.
  3. Click Continue.
  4. Name your group.

Candidates that are successfully added to a group will be indicated with an asterisk *.

 

Create empty groups and add candidates manually to each group

This option lets you specify the number of groups. The candidates are not assigned automatically.

  1. Click Create empty groups and add candidates manually to each group.
  2. Assign a Number of groups.
  3. Click Continue.
  4. Name your group > Click Save.
  5. Within the Candidates page, select your candidates to assign to a group.
  6. Click Group membership.
  7. Assign a group to your candidates > Click Update.

Candidates that are successfully added to a group will be indicated with an asterisk *.

 

Enable candidates to create open groups

Choosing this option allows candidates to create their own groups. No further action is necessary on the Planner's behalf. 

When candidates begin their test, they are prompted to Join existing group or Create new group.

  1. Create new group will prompt the candidate to create a four-digit Group ID. 
  2. Join existing group will prompt the candidate to join a group, using an existing four-digit Group ID.

The planner cannot make changes in candidate-managed groups at any point.

Enable candidates to create password-protected groups

Choosing this option allows candidates to create their own groups -- no further action is necessary on the Planner's behalf. The secure candidate-managed groups are created the same way as the open groups. The difference is that when a secure group is created, an automated password is generated after the candidate creates their four-digit pin. The password is only accessible to existing group members. This password, together with the four-digit pin, is required for other candidates to join the group.

Important information about candidate-managed groups.

When candidates manage their groups, the planner cannot make any changes to the groups. To enable candidates to join an existing group after the test is completed, do the following:

  • Open for late submission on the test.
  • Open for resubmission for the group - this allows candidates to join and leave the group as if the test was still open (but it also gives them full access to the test again).
  • Once the candidate has joined the correct group, close for resubmission. Choose Deliver current when asked, and all candidates in the group will now have status Submitted.
  • Close for late submission on the test
To enable candidates to create a new group and take the test after the test is completed, do the following:
  • Open for late submission on the test
  • Wait for the candidate to create a group
  • Once the candidate is part of a group (visible in Monitor), you can open resubmission for the candidate (in group submissions, candidates have to be a part of a group for resubmission to work)
  • If the test has automatic delivery: Wait for the candidate to submit and close resubmission. Choose Deliver current when asked, and the candidate will now have status Submitted.
  • If the test does not have automatic delivery enabled: Once the candidate has submitted, close for resubmission and Choose Deliver current when asked. 
  • Close for late submissions

 

Import group from CSV 

A CSV file can be used to import a Group Submission. Users that need to establish and change groups by importing datasets with group information may find this functionality useful.

Do not use a header in the import file. The specific format for importing a group CSV file will be:

  1. Navigate to Candidates > Manage.
  2. Select the Submission type dropdown.
  3. Click Group submission.
  4. Click Import group from CSV Continue.
  5. Upload CSV file > Close.

Edit groups

To edit the groups saving, navigate back to the Candidates setup > click Manage > Click Edit groups.
