Bulk create Access Groups and assign users via CSV

You can create multiple Access Groups and assign users to them in bulk by using a CSV file. This method is ideal for managing large numbers of Access Groups and user assignments simultaneously within Inspera. 

This article explains how to access the bulk upload feature, details the preparation of your CSV file, and highlights important notes for a successful bulk operation.

This feature requires activation. Please contact the Service Desk to activate it for your Inspera Assessment tenancy.

Accessing bulk upload

This bulk creation process is handled through the User Management section in Inspera. This section is accessible to users who have the Administrator role. Please note that the Access Group Administrator role does not provide access to the User Management section for this specific task.

Preparing your CSV file

The CSV file allows you to create Access Groups and assign users in bulk. You can also use this method to assign users to Access Groups that already exist. Ensure your CSV file includes the following columns:

  • User's First Name: The first name of the user.
  • User's Last Name: The last name of the user.
  • User Email: The email address of the user.
  • Access Group Hierarchy: (This specific column requires activation): A pipe-separated list of Access Groups, where each Access Group represents a hierarchical relationship. For example, "A|B|C|D":

    • "A" is the root Access Group.
    • "B" is a child of "A".
    • "C" is a child of "B".
    • "D" is a child of "C".

    The user is assigned to the last Access Groups listed in the hierarchy (in this case, Access Groups "D"). Note that even if there are additional Access Groups below "D" in the hierarchy, the user will still be assigned to "D". The hierarchy is provided up to the level of the assigned Access Group.

  • SSO Login IDs (if applicable): If Single Sign-On (SSO) IDs are active for your Inspera tenant, you must specify at least one SSO ID for the user in this column.

Important notes for bulk uploads

  • User Details: Access Groups must be created with users in the same CSV file. Without user assignments, the Access Group will not be created.
  • Hierarchy Definition: The Access Group Hierarchy column defines the Access Groups to which the given user will be assigned. It shows the entire hierarchy above the assigned Access Group. A blank field indicates a root-level Access Group, and filled entries indicate nested units. This column requires activation.

Steps to Bulk Create and Assign Users

  1. Prepare the CSV File: Create your CSV file following the format described above.
  2. Upload the CSV File: Upload the prepared CSV file through the Administrator Interface.
  3. Verify Creation and Assignment: Confirm that the Access Groups have been created and the users assigned correctly within Inspera.
