Hiding and unhiding Access Groups

You can control the visibility of Access Groups in Inspera Assessment by choosing to hide or unhide them. Hiding an Access Group makes it invisible to users without permissions, while unhiding makes it fully accessible. 

This article explains how to hide or unhide an Access Group both individually and in bulk, and details how parent and child Access Group visibility behaves.

Steps to hide or unhide an Access Group

  1. Log in to Inspera with an account that has the Administrator role.
  2. Click on the cogwheel icon in the top right corner.
  3. Navigate to the Access Groups Management page.
  4. Select the Access Group you wish to hide or unhide. 

  5. Click either the Hide or Unhide button, depending on your desired action.

Hide or unhide in Bulk

If you want to hide or unhide in bulk:

  1. Select the Access Groups you want to change visibility on.
  2. Click on Hide or Unhide at the bottom left.

Hidden Access Group

When you hide an Access Group, any existing users and resources linked to it are preserved. While these can be removed later, you cannot add new users or resources to a hidden Access Group, even if you have Administrator permissions. This ensures no new data is inadvertently linked to an invisible unit.

Understanding parent and child Access Group visibility

When you unhide a parent Access Group, the visibility of its child units depends on their previous state:

  • Explicitly Hidden Child: If a child Access Group was explicitly set as hidden, it remains hidden even if its parent is unhidden. This respects your original choice to keep that specific child unit invisible. In such cases, you will need to unhide the child unit separately if you want it to be visible again.
  • Previously Visible Child: If a child Access Group was not hidden before, it automatically becomes unhidden when its parent is unhidden.

This behavior ensures that your explicit actions are preserved and prevents unintended changes to your Access Group hierarchy's visibility.

Real-world example: If "Faculty of Arts" (parent) is unhidden, "English Department" (child) will become visible if it wasn't specifically hidden before. However, "Theater Program" (another child) will remain hidden if you previously chose to hide it manually, and you'd need to unhide "Theater Program" separately.
