This functionality is available for Item Bank Managers.
Before you begin, make sure that Custom Metadata has already been created at the tenant level. For more information, please see the article "Create and manage Custom Metadata"
By default, Item Bank Managers can choose which Custom Metadata to make available in each Item Bank. This flexibility allows you to tailor your metadata to the specific content within each Item Bank.
This article will guide you through the process of choosing which Custom Metadata fields and values to use in your Item Bank.
If your organisation prefers to have all tenant-level Custom Metadata automatically flow to all Item Banks, please contact the Service Desk
Choosing Custom Metadata
To perform the following actions, you must have the Item Bank Manager user role.
1. Select Custom Metadata for your Item Bank
Click the 'Open Custom metadata overview' button in the top right of the Item Bank settings modal. This will open a new tab in your browser.
You will see a dashboard which will initially be blank for a new Item Bank.
Click the 'Select custom field(s) to use' button and select the fields you wish you to make available for use in your Item Bank. Then click 'Save'.
Tip - try searching or using the sorting button to find the name of the field you require.
You will now see the field in your dashboard, but without any chosen values (if applicable, for single-select and multi-select inputs only).
Click the 'Select value(s)' button in the Allowed Values column to view the options and choose your required combination of values.
Your chosen values will now appear in the dashboard.
2. Make changes to the chosen Custom Metadata for your Item Bank
If you wish to add or remove values, hover over the applicable field to see a three dot menu on the right, then click 'Edit allowed values'. It will re-open the value-selection modal and allow you to make changes.
To hide a field and all of its contained values (if applicable), choose 'Hide field' from the menu.
You will be informed of the consequences of hiding the field. If you would like to proceed then click 'Hide'.
Hiding a field or value does not remove its association with tagged content. For example, if you tag a question with "Language Assessed (French)" and then hide that field, the tag will remain. This allows you to still use the hidden field and value to filter and locate the question in your list.
3. Archived Custom Metadata in your Item Bank
When a Custom Metadata Manager archives a field or value that was available in your Item Bank, it will appear greyed out on your Item Bank's metadata dashboard. Authors will no longer be able to use it to tag content. If you prefer, you can also hide the affected field or value using the methods described previously.
Once the Item Bank Manager has selected the custom metadata, Authors can begin using the fields and values to tag content. For instructions on how to do this, see the article "Tagging content with Custom Metadata".
