Bulk Upload Overview
Administrators in Inspera Originality can efficiently add units to the platform through a streamlined process facilitated by the bulk upload functionality. This feature allows administrators to upload subjects, educators, and students in bulk by utilizing an Excel file containing the necessary data.
Each unit has a dedicated interface for bulk uploads, allowing administrators to upload subjects, educators, and students separately, with each category using its own individual Excel file upload to facilitate the bulk upload.
- We recommend uploading subjects in bulk initially. This ensures that when users upload educators in bulk, they can assign subjects to educators directly. While the opposite is possible, we believe assigning subjects to educators provides a better user experience.
- We recommend applying a uniform approach to specifying unique identifiers for subjects, educators, and students to ensure consistency, improve data accuracy, and streamline the upload process.
Bulk Upload Workflow
Please note that the bulk upload workflow is consistent across all units, utilizing a straightforward three-step procedure designed for ease of use and an optimized user experience. These steps include:
- Excel File Upload
- Assigning Faculty & Department
- Data Management & Registration
Subjects
To upload Subjects in bulk, follow the three-step process outlined below.
Key Details
- If the Subject Bulk Upload precedes the Educator Bulk Upload, ensure to leave the Educator column in the provided Excel template file empty
- If the Subject Bulk Upload succeeds the Educator Bulk Upload, populate the Educator column in the provided Excel template file with the respective Educator Unique Identifier that must be assigned to each specific subject. Multiple Educator unique identifiers can be assigned to a subject, separated by commas. To locate the Educator Unique Identifiers, log into Inspera Originality as an administrator and navigate to the Users menu in the sidebar where all registered Educators and their unique identifiers are listed.
- If the Subject Bulk Upload succeeds the Educator Bulk Upload, administrators can assign educators to subjects via the provided interface in the Data Management & Registration phase.
As an administrator, navigate to Add Units → Subjects → Bulk User Registration.
To complete bulk registration of subjects, institutions must upload an Excel file with the required information. A downloadable template is provided to facilitate this process.
The required details for each subject include:
- Subject name - The name of the subject
- Subject ID - A unique identifier for required each subject
- Subject type - Whether the subject is mandatory or elective
- Educator - The educator assigned to the subject
- Summary - A summary of the subject
Once the Excel file with the required data is uploaded, the next step is to assign a faculty and department to the subjects listed in the file.
Once the faculty and department have been chosen for the subjects, the next step involves reviewing and managing entries. If no issues are found, users can simply proceed with registration by clicking the Register button at the bottom of the page.
Note: If the entries already exist in the system, users will be notified, and the entries will be flagged as problematic.
If there are issues, users can review, edit, and delete entries as needed, and apply filters to display only the entries with issues, ensuring efficient management.
Note: Registration can proceed even if certain entries contain issues; however, those entries will not be registered.
Educators
To upload Educators in bulk, follow the three-step process outlined below.
Key Details
- If the Educator Bulk Upload precedes the Subject Bulk Upload, ensure to leave the Course Code column in the provided Excel template file empty
- If the Educator Bulk Upload succeeds the Subject Bulk Upload, populate the Subject ID column in the provided Excel template file with the respective Subject IDs for subjects that must be assigned to each specific educator. Multiple Subject IDs can be assigned to an educator, separated by commas. To locate the Subject IDs, log into Inspera Originality as an administrator and navigate to the Subjects section, where all registered subjects and their IDs are listed.
- If the Educator Bulk Upload succeeds the Subject Bulk Upload, administrators can assign subjects to educators via the provided interface in the Data Management & Registration phase.
